Synapser User Guide
Synapser brings your email, calendars, tasks and notes into five tabs. This guide covers the controls you can use in the app and notes when an option depends on your connected provider.
1. Getting started
Sign in and complete setup
- Open Synapser and confirm that you are at least 16 years old, accept the Terms of Service and acknowledge the Privacy Policy.
- Continue with Apple, Google or Microsoft. This signs you in to Synapser; you can connect additional work or personal accounts afterward.
- Follow the setup screens. AI suggestions, diagnostics and performance data, and usage analytics are optional choices. Notifications, Contacts and Location are requested separately, and you can choose Ask Later where shown.
- Complete the subscription step presented in the app. The App Store shows the trial and price available for your country.
Connect the accounts you use
If no account is connected for a tab, that tab shows its available connection choices. You can also open Dashboard → Settings and use the Account section.
- Google Accounts can provide Gmail, Google Calendar and Google Tasks.
- Microsoft Accounts can provide Outlook email, Outlook Calendar and Microsoft To Do.
- iCloud Mail uses your iCloud email address and an Apple app-specific password. The setup screen includes instructions for creating one.
- Apple Calendar & Reminders connects the calendars and reminder lists available on your iPhone, after you grant iOS access.
You can connect more than one Google, Microsoft or iCloud Mail account. When Synapser asks for provider permissions, grant the services you want to use. A missing permission is shown in the relevant account settings and can be granted by signing in again.
Move around the app
The tab bar contains Dashboard, Email, Calendar, Tasks and Notes. Search is available from the top-right of every tab. Pull down on the main lists to refresh them.
Previously synced information remains available when you are offline. Changes made offline wait for a connection and then sync. An offline banner appears when the Dashboard is showing saved data.
2. Dashboard
The Dashboard is your daily overview. Depending on your data and permissions, it can show pending calendar invitations, today’s schedule, tasks, reminders, AI suggestions, event locations and a collapsible Days Ahead section.
- Tap a card heading to collapse or expand that section. Your choice is remembered.
- Tap an event, task or reminder to open its full details. Use a task’s completion circle to mark it complete or incomplete.
- Respond to pending invitations from their Dashboard cards. Event details also provide RSVP controls when the invitation supports them.
- Use the filter button to show or hide individual accounts, Apple Calendar and Apple Reminders. The same sheet lets you show or hide holidays and birthdays.
- Tap + to create a task or event. The selector at the top of the sheet switches between the two while keeping the title and description you have typed.
- Open the gear button for Settings, or use the Search button to search across Synapser.
3. Email
Browse and organize messages
- Use the folder chips above the list to move between Inbox and the other available mailboxes and labels. The Inbox badge combines unread mail from the visible accounts.
- Open the filter sheet to choose which accounts are visible and to limit the list to unread messages or messages with attachments.
- Tap a conversation to read its thread. Swipe a row for quick actions such as Archive, Move to Inbox or other actions appropriate to the current mailbox. Touch and hold for the full action menu.
- Tap Select to choose multiple conversations, then use the bulk-action menu to mark, move, archive or delete them as available.
Read and act
From an email thread you can reply, reply to all or forward. The More Actions menu includes the actions available for that message and provider, such as mark read or unread, star, archive, move, add a label or category, snooze, set a follow-up reminder, mute, report spam, print or delete.
Snooze temporarily removes an email from the current view until the time you choose. Set Reminder creates a follow-up reminder without moving the email.
Compose
Tap the compose button in the top-right. Choose the sending account, add recipients, Cc or Bcc, a subject and message, then attach files if needed. The schedule-send button lets you choose a later delivery time. The Email settings page lets you choose an undo-send delay of Instant, 2, 5 or 10 seconds.
Some mailbox actions and composition options depend on what Gmail, Outlook or iCloud Mail supports for that account.
4. Calendar
Choose a view and date
- Use D, W or M to switch between day, week and month views.
- Swipe to the previous or next period. Tap the Today button to return to the current date.
- Open Calendar Filters to choose accounts and individual calendars, and to show or hide birthdays, holidays, tasks and completed tasks.
Create and manage items
Tap + to create an event or task. A Create Birthday option appears when a compatible Google Calendar account is available. You can also open a day and create an item for that date.
When creating an event, select its calendar account and add the title, description, location, start and end, all-day status, repeat settings, attendees and reminders. Colour, video-conference and attachment options appear where the selected provider supports them.
Tap an event to see its description, location, attendees, conference link, reminders and attachments. From the detail screen you can edit the event when you have permission, join its meeting, respond Yes, Maybe or No, and propose a new time when that invitation supports it.
5. Tasks
Find the right tasks
- Use the status chips to view Pending, No Date, Today, Overdue, All Tasks or Completed.
- If your tasks have tags, tap a #tag chip to filter by it. Touch and hold tag chips to combine more than one.
- Open Task Filters to show or hide task accounts and individual lists. You can sort by due date, priority, alphabetical order or creation date.
Create and update tasks
Tap +, choose the destination account and list, then enter the task details. Available fields include status, priority, due date and time, recurrence, reminders, tags, links, a location reminder, subtasks and attachments. Fields vary where a provider does not support the same data.
- Tap the completion circle to mark a task complete or incomplete, and tap the row to edit its details.
- Swipe a task for Edit, Delete or Add Subtask, or touch and hold it for the action menu.
- For recurring tasks, Synapser asks whether you want to complete the current occurrence or delete the entire series.
6. Notes
Browse and organize notes
- Use the chips to view Notes, Mine, Shared, Pinned, Checklists, Reminders, Archive or Trash.
- Use #label chips to filter notes. Touch and hold labels to combine several.
- Use the sort menu to order notes by Modified, Created or Title. The layout button switches between one and two columns.
- Notes moved to Trash are automatically deleted after 30 days. The Trash view also provides an Empty Trash action.
Create and edit
Tap + to create a note. Add a title and text, or switch the note to a checklist. The toolbar and More Actions menu let you pin the note, add labels, choose a color, add attachments, set a time or location reminder, share, export, archive or move it to Trash.
When editing a checklist, add and reorder items, mark them complete, and expand or collapse the completed group.
Share and import
Choose Share from a note to invite people by email. Collaborators who accept can edit the note. The sharing screen shows the owner, people with access and pending invitations, and lets the owner remove access or cancel an invitation.
To bring existing notes into Synapser, open Dashboard → Settings → Notes. The import choices shown there are Synapser Export, Google Keep, Apple Notes, Microsoft OneNote and Markdown files from apps such as Notion or Obsidian. Follow the instructions in the selected import screen; import availability may depend on your subscription or a connected Microsoft account.
7. AI suggestions
AI suggestions are optional and require your consent. When enabled, suggestion cards appear on the Dashboard and may propose useful tasks or events based on the information already connected to Synapser.
- Review the proposed outcome before acting. Nothing is created, changed or sent automatically.
- Tap a card to open the editor when you want to check or change its details.
- Use Confirm or Add to carry out a suggestion, or Reject to remove it. Task suggestions can also offer Mark as Done.
- Go to Dashboard → Settings → AI to enable or disable AI suggestions. Enabling may require an active subscription; disabling remains available so you can withdraw consent.

8. Search
Tap Search in the top-right of any tab and enter what you are looking for. Results can include email, notes, tasks, events, contacts and AI suggestions. Tap a result to open it; Back returns you to the same results.
- Use the All, Email, Note, Task, Event, Contact and AI chips to narrow the result type.
- Your recent searches appear before you type. Remove one individually or use Clear to remove the list.
- Use Select for compatible results. The available bulk actions change with the selected result type, such as Mark Read for email, Pin for notes or Complete for tasks.
Search syntax
Plain words search across all supported item types. You can also use quotation marks for an exact phrase, OR between alternatives and a leading minus sign to exclude a word. These email-specific operators are also available:

9. Notifications
During setup, Synapser asks whether it may notify you about important email, events and tasks. Tap a Synapser notification to open its related item or account action in the app.
Open Dashboard → Settings → Notifications to review the current iOS permission, grant it if you have not answered yet, or open the Synapser page in iOS Settings. The same screen controls Live Activities, which can show upcoming event countdowns on the Lock Screen and Dynamic Island on supported iPhones.
If notifications are missing after permission was denied, use Open iOS Notification Settings and change the permission there. iOS owns that setting after the first choice.
10. Settings
Open the Dashboard and tap the gear button. Settings is organized into these areas:
- Appearance: choose System, Light or Dark, select an accent color, use the Synapser Signature theme and control screen auto-rotation.
- Features: manage Notifications, AI, Calendar week and time formats, Email’s undo-send delay, Notes imports, whether completed tasks appear in Calendar, and your preferred maps app.
- Account: manage your subscription and profile, connect or remove Google, Microsoft and iCloud Mail accounts, connect Apple Calendar and Reminders, and review iOS integrations.
- Support: use Help & Feedback to contact support, report a problem or suggest an improvement from a connected email account.
- Privacy & Legal: manage communication preferences and optional diagnostics, and read the Privacy Policy, Terms of Service and open-source licenses.
11. Privacy & security
Control access and optional processing
- Review each connected Google, Microsoft or iCloud Mail account from Settings. You can update permissions, reconnect a disconnected account or remove it.
- Open iOS Integrations to review Contacts, Camera, Photos and Location access and why each permission is used. If iOS has already recorded a choice, use Manage Permissions in iOS Settings to change it.
- Open AI to withdraw or grant consent for AI suggestions.
- Open Diagnostics & Analytics to control Diagnostics & Performance and Usage Analytics separately. Both are off by default.
- Open Communication Preferences to control optional product news and offers. Essential account, security and service messages are managed separately.
Export or delete your data
Go to Dashboard → Settings → User Profile and choose Export My Data to request a ZIP export. Completed exports remain available for 7 days.
The same screen provides Delete Account. The app explains what will be removed and asks for a final confirmation. Deleting your Synapser account does not delete information held independently by your connected providers, and it does not cancel an Apple subscription; the deletion flow provides the subscription-management action before you continue.
